Org. Setting and Reporting
This position is located in the Archives and Records Centre in the Archives and Records Management Section, Office of Central Support Services. The incumbent will directly report to the Chief of the Archives and Records Centre.
                
Responsibilities
Within delegated authority, the Information Management Assistant will be responsible for the following duties:

Archives and Records Management
Provides standard and ARMS-specific applications support and applications troubleshooting for Section staff.
Conducts end-user training relating to standard electronic record-keeping systems in Secretariat offices.
Edits Section web page, ensuring HTML layout is correct.
Registers Section’s incoming and outgoing records in electronic record-keeping system.
Maintains Section’s paper-based and electronic central file system by creating new folders, applying disposition instructions and tracking file circulation.
Participates in records management projects in Secretariat offices, assembles records and creates electronic file lists in preparation for records transfer and arranges for their transportation from offices to non-current storage.
Assists in accessioning, disposition, description, and database updating activities as they relate to Section records-related projects.
Performs clearinghouse functions concerning maintenance of accession, disposal and location elements of the Section database.
Supports disposition operations by liaising with records-originating offices on transfer procedures and documentation; and analyzes retention schedules and precedents in support of disposition decisions.
Creates and maintains manual accession records and provides information to other Section staff in support of reference and archival arrangement and description activities.
Oversees internal records retrieval, loan, reproduction and staff clearance operations.
Supports external reference services by drafting routine responses to enquiries, including records reproduction transmittals, for approval of Unit Chief.
Participates in maintaining the Section’s reference database.

Documents
Liaises with document processing services with respect to preparation, reproduction and distribution of documents and publications.
Orders and follows-up on shipment of documents, reference materials, stationery and necessary equipment to various sites.
Provides document delivery services as required.

General
Conducts research as requested by more senior staff.
Provides relevant technical support to users of information services.
Provides administrative support for the Unit and Section Chiefs and undertakes other duties as assigned.

The primary role of the Central Records Unit (CRU) of the Executive Office of the Secretary-General (EOSG) is to be the repository of all official correspondence addressed to the Office of the Secretary-General.
               
Responsibilities
Within delegated authority and under the direct supervision of the Head of Central Records Unit (CRU), the Records Assistant is expected to contribute to the work of the Unit as follows:

- Engages in management of paper records for the EOSG;

- Files returned cases according to the File Classification Scheme;

- Updates the File Classification scheme as necessary;

- Distributes morning cables;

- Prepares folders and boxes for records transfer;

- Provides required service to both internal and external customers of the Unit;

- Performs ad hoc duties as may be required.

Special Notice
This temporary vacancy is intended to fill the functions for a short-term duration starting as soon as possible and for an initial period of three months, with possibility of extension.

• A current staff member who holds a fixed-term, permanent or continuing appointment may apply for temporary positions no more than one level above his or her current grade. However, a current staff member who holds an appointment at the G-6 or G-7 level may also apply to temporary positions in the Professional category up to and including the P-3 level, subject to meeting all eligibility and other requirements for the position. Org. Setting and Reporting
This position of Associate Information Management Officer (Chief, Archives Management Unit) is located in the Institutional Memory Section, UN Library Geneva, United Nations Office at Geneva.
Responsibilities
Within delegated authority, the Associate Information Management Officer will be responsible for the following duties:

•Supervises and undertakes records accession and disposition functions, including records appraisal, by liasing with records-creating offices on the transfer and/or disposal of records and analysing and evaluating records for evidential and informational value in support of records appraisal.
•Supervises and undertakes archival processing activities by producing descriptive inventories; prepares mark-up of inventories for electronic dissemination; and monitors adherence to description, database and preservation standards; leads physical preservation activities
•Performs and supervises reference functions by advising internal and external users on holdings and accessibility and assisting in the administration of access and declassification activities.
•Provides assistance with public outreach efforts, including the management of the United Nations Geneva Museum and the organization of temporary exhibitions
•Supervises General Service staff relating to functions cited above.
•Performs other related duties, as required.

Education
A first-level university degree in archival, information science, information systems, social science or related field.
               
Work Experience
A minimum of two years of progressively responsible experience in modern archives management, record keeping, library, information management or related area. No experience is required for candidates who have passed a United Nations Competitive Recruitment Examination.
               
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English or French and knowledge of the other is required. Knowledge of another UN official language is an advantage.
               
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Senior Officer –  9 month secondment role                                                                        

Role Overview

The Senior Officer is responsible for administering all aspects of work flow in the Documentation Office and acts as a key point of contact for all matters relating to the issue of official Board documents.

Key Responsibilities and Deliverables

  1. Distributing documentation to the Board of Directors both electronically (via BOLDnet) and in hard copy, in compliance with relevant Bank procedures including the correct presentation and format of documents and ensuring appropriate information security levels are assigned and necessary sign-offs obtained.
  2. Delivering hard copies of board documents to the Board of Directors constituency offices
  3. Assisting BIA Advisers with Board meeting preparation and other administrative tasks relating to the work of the Board Committees, Information Sessions and Workshops.
  4. Maintaining and updating information on the Bank’s website, the intranet, BOLDnet, the Board of Directors Outlook calendar and the Board LiveFeed.
  5. Maintaining the security of the records within the Documentation Office, including Highly Restricted documentation.  Controlling access to the verbatim records of the Board of Directors
  6. Working with Records Management and Archives regarding the archiving of original board documents.  Independently responsible for implementing correct records management procedures within the office including copying and archiving of documents.
  7. Assisting with ad hoc research requests and retrieval of information from BOLDnet.

Skills and Experience
 
  • Excellent organisational and administrative skills with the ability to multi-task and work independently.
  • Willing to deliver hard copy documents to different floors within the Bank on a daily basis.
  • Ability to stay calm and work under pressure, to meet deadlines and handle large volumes of work.
  • Willing to deliver hard copy documents to different floors within the Bank on a daily basis.
  • Good IT skills.  
  • Excellent written and spoken English.
  • A good understanding of the work of the Board of Directors and related documentation would be desirable but not essential.
  • Reliable, flexible and conscientious, with a good eye for detail.
  • Willing to work regular overtime as required.
